4. How We Use the Information We Collect
- We use the information that we collect in a variety of ways in providing the Service and operating our business, including the following:
4.1 Operations
We use the information – other than Client Data - to operate, maintain, enhance and provide all features of the Service.

If you are an individual in the United Kingdom, the European Economic Area (EEA), or of another relevant jurisdiction, we collect and process information about you only where we have a legal basis or bases for doing so under applicable laws. The legal bases depend on the products and services that your organization has purchased from Data Parrot, how such products and services are used, and how you choose to interact and communicate with Data Parrot's websites, systems, and whether you attend Data Parrot events. This means we collect and use your Personal Data only where:
- We need it to operate and provide you with our products and services, provide customer support and personalized features, and to protect the safety and security of our products and services;
- It satisfies a legitimate interest of Data Parrot's (which is not overridden by your data protection interests and rights), such as for research and development, to provide information to you about our products and services that we believe you and your organization may find useful, and to protect our legal rights and interests;
- You give us consent to do so for a specific purpose; or
- We need to comply with a legal obligation.
Where we rely on legitimate interests to process your Personal Data, you can object to that processing as described below under "Your Choices." In response to your objection, we will stop processing your information for the relevant purposes unless we have compelling grounds in the circumstances or the processing is necessary in the context of legal claims. Data Parrot may also process other information that constitutes your Personal Data for direct marketing purposes and you have a right to object to Data Parrot's use of your Personal Data for this purpose at any time.
4.6 AI and Model Training
- We may use artificial intelligence, machine learning, and similar technologies to operate, support, and improve the product features we provide to you.
- We do not use Client Data, connected customer data, or personal data collected through the Service to train generalized AI or machine learning models.
- Where we use third-party AI or model providers to help deliver product functionality, we require those providers to handle data in accordance with our contractual restrictions and applicable law.
4.7 Additional Limits on Connected Account Data
- If you authorize Data Parrot to access data from a connected account or integration, we use that data only to provide, secure, support, and improve the features you enable. For example, if you connect HubSpot, we use authorized HubSpot data to synchronize, analyze, display, and act on CRM and related business information within the Service.
- We do not sell connected account data, use it for advertising, or use it to train generalized artificial intelligence or machine learning models.
- We restrict personnel access to connected account data to authorized Data Parrot personnel with a business need to provide, support, secure, maintain, troubleshoot, or improve the Service for the customer; investigate security, abuse, or service issues; comply with law; or follow customer instructions. Personnel with access to such data are subject to confidentiality obligations and access controls.
5. To Whom We Disclose Information
- Except as described in this Notice, we will not intentionally disclose the Personal Data or Client Data that we collect or store on the Service to third parties without the consent of the applicable Visitor, User or Client. We may disclose information to third parties if you consent to us doing so, as well as in the following circumstances:
5.1 Unrestricted Information
Any information that you voluntarily choose to submit for public display on our websites or through the Service, such as a testimonial or other content you ask us to publish, may be available to any Visitor or User who has access to that content.
5.2 Other Users in Your Company Account
Certain information about your use of the Data Parrot Services is available to the administrator(s) of your Data Parrot Account and, depending on the settings chosen by the Users of the Account, also to other Users for the purposes of providing the Data Parrot Services.
5.3 Service Providers
We work with third party service providers who provide website, application development, hosting, maintenance, security and fraud detection, and other services for us. These third parties may have access to, or process Personal Data or Client Data as part of providing those services for us. We limit the information provided to these service providers to that which is reasonably necessary for them to perform their functions, and our contracts with them require them to maintain the confidentiality of such information.
5.4 Public Content and Submitted Materials
We make available blogs, resource materials, and other public-facing website content. If you submit content for public display, such as a testimonial, review, or other material you ask us to publish, that information may be publicly available and may be read, collected, and processed by others who visit our websites. We urge you to consider the sensitivity of any information you choose to make public. If you want us to update or remove content that you submitted for publication, you may contact us as described in Section 10 "Your Choices."
5.5 Social Media
Data Parrot's websites may use social media features, such as the Facebook "like" button, LinkedIn and Twitter sharing features, and other similar widgets ("Social Media Features"). You may be given the option by such Social Media Features to post information about your activities on a website to a profile page of yours that is provided by a third- party social media network in order to share content with others within your network. Social Media Features are either hosted by the respective social media network, or hosted directly on our websites. To the extent the Social Media Features are hosted by the respective social media networks and you click through to these from our website, the latter may receive information showing that you have visited our website. If you are logged in to your social media account, it is possible that the respective social media network can link your visit to our websites with your social media profile. Your interactions with Social Media Features are governed by the privacy policies (and any other applicable terms) of the respective companies that provide the relevant Social Media Features.
5.6 Advertising and Marketing
We may work with advertising partners and service providers to measure campaigns, build custom audiences, create lookalike audiences, retarget visitors, and deliver or optimize advertising on our behalf. These technologies are used for Data Parrot's marketing website, marketing emails, and advertising activities. We do not use Customer Data, connected account data, CRM records, meeting transcripts, or Service content for advertising, retargeting, custom audiences, or lookalike audiences. However, under some privacy laws, certain disclosures of personal information to advertising partners for cross-context behavioral advertising may be considered "sharing" or a "sale" even when no money changes hands.
5.7 Partners
We may share data with trusted Data Parrot partners to contact you based on your request to receive such communications, help us perform statistical analysis, provide sales support, or provide customer support. Partners are prohibited from using your Personal Data except for these purposes, and they are required to maintain the confidentiality of your data. We partner with trusted third parties to provide content that we think may be relevant to you. When you engage with these partners, we will tell you who we are sharing data with and provide a link to the partner’s privacy policy so you can learn how to opt out of the partner’s communications. These partners are required to adhere to our privacy and data protection policies.
5.8 Non Personally Identifiable Information
We may make certain automatically-collected, aggregated, or otherwise non-personally-identifiable information available to third parties for various purposes, including (i) compliance with various reporting obligations; (ii) for business or marketing purposes; or (iii) to assist such parties in understanding our Clients', Users' and Visitors' interests, habits, and usage patterns for certain programs, content, services, and/or functionality available through the Service, all of the foregoing being subject to additional limits on use of your data as stated in this Privacy Notice.
5.9 Law Enforcement, Legal Process and Compliance
We may disclose Personal Data or other information if required to do so by law or in the good-faith belief that such action is necessary to comply with applicable laws, in response to a facially valid court order, judicial or other government subpoena or warrant, or to otherwise cooperate with law enforcement or other governmental agencies. We also reserve the right to disclose Personal Data or other information that we believe, in good faith, is appropriate or necessary to (i) take precautions against liability, (ii) protect ourselves or others from fraudulent, abusive, or unlawful uses or activity, (iii) investigate and defend ourselves against any third-party claims or allegations, (iv) protect the security or integrity of the Service and any facilities or equipment used to make the Service available, or (v) protect our property or other legal rights, enforce our contracts, or protect the rights, property, or safety of others.
5.10 Change of Ownership
Information about Users and Visitors, including Personal Data, may be disclosed and otherwise transferred to an acquirer, successor or assignee as part of any merger, acquisition, debt financing, sale of assets, or similar transaction, as well as in the event of an insolvency, bankruptcy, or receivership in which information is transferred to one or more third parties as one of our business assets and only if the recipient of the User or Visitor Data commits to a Privacy Policy that has terms substantially consistent with this Privacy Notice.
Client Data may be physically or electronically transferred to an acquirer, or successor or assignee as part of any merger, acquisition, debt financing, sale of assets, or similar transaction, as well as in the event of an insolvency, bankruptcy, or receivership in which information is transferred to one or more third parties as one of our business assets, for the sole purpose of continuing the operation of the Service, and only if the recipient of the Client Data commits to a Privacy Policy that has terms substantially consistent with this Privacy Notice.
6. Data Security
- At Data Parrot, we take data security very seriously. We have taken steps to implement appropriate administrative, technical, and organizational safeguards designed to prevent unauthorized access, use, modification, disclosure, or destruction of the information you entrust to us. However, no security system is perfect, and due to the inherent nature of the Internet, we cannot guarantee that data, including Personal Data, is absolutely safe from intrusion or other unauthorized access by others. You are responsible for protecting your password(s) and other authentication factors, as well as maintaining the security of your devices. If you believe your Personal Data has been compromised or need to report a security concern, please contact security@dataparrot.ai. If we learn of a security systems breach, we will inform affected parties and authorities as required by applicable law.
7. International Data Transfers
- Data Parrot may transfer your Personal Data to countries other than the one in which you live, including transfers to the United States. Where required by applicable law, we use appropriate safeguards for international transfers of Personal Data, which may include standard contractual clauses, adequacy decisions, data privacy frameworks, or other lawful transfer mechanisms.
8. Minors and Children's Privacy
- Protecting the privacy of young children is especially important. Our Service is not directed nor intended to children under the age of 18, and we do not knowingly collect Personal Data from children under the age of 18. If you are under 18 years of age, then please do not use or access the Service at any time or in any manner. If we learn that Personal Data has been collected on the Service from persons under 18 years of age and without verifiable parental consent, then we will take the appropriate steps to delete this information. 9. Data Retention
- We retain Personal Data for a period of time that is consistent with the original purpose of the data collection, or as necessary to comply with legal obligations, resolve disputes, enforce our agreements, maintain security, prevent fraud or abuse, or meet tax, accounting, or compliance requirements.
- Upon verified customer request or termination of the Service, Data Parrot deletes Customer Data from active production systems within 30 days, unless retention is required for legal, security, fraud-prevention, dispute-resolution, tax, accounting, or compliance purposes.
- Production database backups expire on a rolling basis according to our managed database backup schedule, currently within 7 days. Logs, records, and retained information kept for security, fraud prevention, legal, dispute-resolution, or compliance purposes remain protected and are not used for advertising, generalized AI or machine learning model training, or unrelated product purposes.

We may, however, disclose some of the categories of Personal Data described above to advertising partners in connection with cookies, pixels, custom audiences, lookalike audiences, retargeting, campaign measurement, and other cross-context behavioral advertising activities related to our own marketing website, marketing emails, and advertising activities. We do not use Customer Data, connected account data, CRM records, meeting transcripts, or Service content for these activities. Under the CCPA, this type of disclosure may be considered "sharing" or a "sale" even when no money changes hands.
