Forecast Workspace

Review your forecast by period, team and owner on one screen. Check deal health and timing, track HubSpot goals, and update deals and Forecast Notes as you review.

Last updated

Forecast Workspace is where you review and update your forecast on one screen.

  • Filter by pipeline, stage and other deal properties, and choose your date range.
  • See your forecast totals by Forecast Status, with deal health and the deals that may close earlier (Pull forward) or later (Slip risk).
  • Select any total, or any deal health, Pull forward or Slip risk amount, to see it by team or owner.
  • See each team's and owner's HubSpot goal and the percentage of it won.
  • Open a team's or owner's deals and update Forecast Status, Close Date, Pipeline, Stage and Next Step. Changes to HubSpot fields save to HubSpot right away. You can also add Forecast Notes.
  • When someone changes a deal in HubSpot, Forecast Workspace updates without reloading, typically in under 30 seconds.

Forecast Workspace is available on the Pro and Max plans. It organizes your forecast by Forecast Status, and a Data Parrot Admin chooses where Forecast Status is managed in Forecast Settings.

Forecast totals

Forecast totals show your forecast for every period in your date range, with one row for Closed Won and one row per Forecast Status value.

  • Total shows Closed Won and all open deals in each period. Closed Lost deals aren't included.
  • Selected adds up only the rows you've checked. By default, Closed Won and every Forecast Status value that Data Parrot matched to Commit, Most Likely or Best Case are checked.
  • Each row shows its total for every period, and for the whole range next to its name.

Deals without a Close Date aren't included in any total. Open deals without a Forecast Status appear in their own row, such as No Forecast Status or No Forecast category. Values you've removed that are still on deals also get their own rows. If Forecast Status isn't set up yet, open deals appear in one Open Deals row.

Periods and date range

Choose W, M or Q in the top-left corner to show weeks, months or quarters. Weeks run Monday to Sunday.

The first and last column headings set the date range. Select either one to choose a different start or end period. A range covers at least two periods.

Deal health and timing

For open deals, each Forecast Status cell also shows deal health and timing.

The bar shows how much of the amount is in each health group, with the amounts underneath:

Below the bar, two clock icons show timing:

Pull forward and Slip risk compare periods at the W, M or Q setting you've chosen, so switching between weeks, months and quarters can change them. A deal can be in a health group and a timing group at the same time. Deals the AI hasn't rated yet still count toward the total.

Hover over a health group or timing value to see its amount, deal count and percentage of the cell's amount. For deal health, it also lists each rating, such as High and Very High, with its deal count and amount. Select the value to see it by team or owner.

$921K of October Commit has low deal health
October Commit has $921K across six deals with low deal health, representing 21% of the $4.5M Commit amount

Goals

If your team has HubSpot goals that cover your date range, a Goal row appears under Selected. It shows each period's goal, the percentage of the goal won and a progress bar. Hover over it to see how much was won against the goal.

Goal progress uses Closed Won in your company currency. Pipeline filters change it. Other filters and the amount you choose don't.

Team and owner breakdown

Select any total, cell, health group or timing value to see it by team or owner. Choose Team or Owner at the top of the breakdown.

  • The Total row shows the combined amount for every team or owner.
  • If your team uses goals in HubSpot, the Goal column next to Total shows each team's or owner's goal and the percentage of the goal won. Hover over it to see the exact amounts.
  • Each row shows its amount and deal count, then a column each for High, Medium, Low, Pull forward and Slip risk.
  • Select a column heading to sort by it. Select it again to reverse the order.

When you open the breakdown from a health group or timing value, that column stays highlighted, and the Total row shows how many deals match, such as 5 of 20. Only teams and owners with matching deals are listed, sorted by that value.

Select a row to open its deals. Select a health or timing value in a row to open only those deals.

If you open the breakdown from Closed Won, it lists each team or owner with their amount, deal count and goal, without health or timing columns.

Deals

When you open deals, the forecast totals and the breakdown move to narrow columns on the left so you can switch between teams or owners. Each deal shows:

  • The deal name, amount and how long ago its last activity was
  • Companies, contacts and the owner (the owner is left out when you're viewing one owner's deals)
  • Pipeline and Stage
  • A row of deal facts, such as Created and CRM probability
  • The AI summary and deal health
  • Forecast Status, Close Date and Forecast Notes

Use the HubSpot button on a deal to open it in HubSpot or create a note or task there.

By default, deals are sorted by amount, high to low. Select Close Date, Amount, Deal Health or Last Activity to sort by that field, and select it again to reverse the order. Select + to sort by another field. Use the search box to find a deal by name.

When the AI questions a Close Date or Stage

A clock icon appears next to the Close Date when the AI flags Pull forward or Slip risk, or when its close date confidence is Medium or lower. A flag icon appears next to the Stage when its stage confidence is Medium or lower.

Hover over the icon to see the AI's confidence and its suggested date or stage. When confidence is Medium or lower, it also shows the AI's reasoning.

Update a deal

On deals that are still open, you can update Forecast Status, Close Date, Pipeline and Stage directly on the deal. Open the deal to update Next Step.

  • Close Date, Pipeline, Stage and Next Step save to HubSpot right away.
  • Forecast Status saves to HubSpot when it comes from a HubSpot property. When your team manages Forecast Status in Data Parrot, it saves in Data Parrot.

Closed Won and Closed Lost deals are read-only.

Forecast Notes

When Forecast Notes is turned on in Forecast Settings, each open deal shows Forecast Notes. Each person has one current note per deal and can edit only their own. Forecast Notes stay in Data Parrot and don't save to HubSpot.

  • Type your note. Save and Discard appear while you have unsaved changes.
  • Once you've saved your note more than once, select History to see every saved version.
  • Before you open a deal, select the note count, such as 2 other notes, to read notes from the rest of your team, with each person's name, when they last updated it and its history. When you open a deal, other notes show automatically.

Open a deal

Select the arrow next to a deal's name to open it. Opening a deal adds the following. On Closed Won deals, only AI signals and Timeline appear.

  • Next step: the deal's Next Step from HubSpot, which you can edit
  • Suggested next steps: steps the AI recommends, one at a time
  • AI signals: Deal Status, Purchase Intent, Win Chance and Sales Performance. Select a signal to see its reasoning.
  • Timeline: the deal's activity, newest first. Filter it by meetings, calls, emails, notes or tasks.

Use the gear icons to add, remove or reset deal facts, and to show, hide, reorder or reset AI signals and timeline items. Your deal fact choices are saved with the current saved view. AI signal and timeline choices last until you reload the page.

Select the expand icon in the Deals header to give the deals the full width of the page.

Live updates and change history

Forecast Workspace updates on its own when your data changes. You don't need to refresh the page.

When a deal changes, it flashes and the changed values are highlighted. For example, if a rep moves a deal to a new stage in HubSpot, you see the deal flash and its new stage appear. Totals that change flash too.

  • Orange means deal data changed, in HubSpot or by a teammate in Data Parrot.
  • Blue means Data Parrot's AI analysis changed.

If a change means a deal no longer matches your filters or date range, the deal turns grey. For example, if you're reviewing October and a rep moves a deal's Close Date to November in HubSpot, the deal turns grey and October's totals go down. Deals that now match your filters are added where they fall in the list.

When you change a deal in Forecast Workspace, your totals update right away, and changes to HubSpot fields update HubSpot. If your change means the deal no longer belongs in the list you're viewing, it turns grey. For example, if you're reviewing Commit deals and change a deal to Best Case, that deal turns grey. If it was the only deal in the list, the list shows no deals instead.

If someone changes a deal while you're editing it, the update appears after you finish.

Change history

Select the history icon next to the amount menu to see recent changes to your deals. It covers Amount, Close Date, Stage, Pipeline, Owner, Forecast Status, deal health, the AI summary and the AI's suggested close date.

Each change shows the deal, the field, the old and new values, when it changed and who made the change, such as a person, a HubSpot workflow or Data Parrot AI. Select a deal name to go to its deal page. A badge on the icon shows how many changes arrived since you last opened the list or loaded the page.

The list includes changes to every deal that matches your pipeline and other filters, whatever its Close Date, including Closed Won and Closed Lost deals. When you've opened a team's or owner's deals, it shows only their changes.

AI analysis

AI analysis currently runs daily. When you open a deal that has HubSpot activity or changes newer than its analysis, a refresh button appears next to its Summary. Select it to update that deal's analysis.

Filters, Amount and saved views

Filters

Use Pipelines & Stages to choose which pipelines and stages to include. Select + to filter by Deal Probability or one of your custom HubSpot dropdown properties.

Stage and Deal Probability apply only to open deals. They don't remove Closed Won from your totals.

Amount

Use the amount menu, to the right of the filters, to choose which deal amount Forecast Workspace uses. It shows the name of the amount you've chosen, such as Amount. Choose HubSpot's Amount, Amount in company currency, another HubSpot amount such as Forecast amount or Weighted amount, or a custom number property that Data Parrot identifies as an amount. Only amount properties that have values on your open deals are listed.

Saved views

Each tab at the top of Forecast Workspace is a saved view.

  • All shows the current month and the next five months, by month. You can change its settings, but you can't rename, move or delete it.
  • Select + to create a tab. It starts with your current settings.
  • Each tab keeps its own dates, period, filters, amount and checked rows. Use a tab's menu to rename, move or delete it, or save it as a new tab.

Each tab also remembers where you were, including the open breakdown and deal. When you return to a tab, it opens where you left off.

Saved views are your own. Each person on your team has their own tabs.
